Terms & Conditions

Please read these terms carefully before using Mailtohire. They explain your rights, our responsibilities, and the rules that keep the platform fair for everyone.

These Terms and Conditions ("Terms") govern your access to and use of Mailtohire ("the Platform", "we", "us"). By creating an account or using any part of Mailtohire, you confirm that you have read, understood, and agree to be bound by these Terms. If you do not agree, please do not use Mailtohire.

Section 01

Overview

Mailtohire is a job-search outreach platform that enables users to send personalised cold emails to HR professionals and companies in India, using their own Gmail account. The platform operates via two modes: Smart Campaigns (automated, scheduled sending) and Quick Send (manual, one-at-a-time sending).

Mailtohire is currently operated by an individual founder and is not yet a registered business entity. Upon formal incorporation, these Terms will be updated accordingly. All references to "Mailtohire", "we", or "us" refer to the individual operating this platform.

Eligibility

To use Mailtohire, you must meet the following requirements:

  • You must be at least 13 years of age. If you are below 18 years of age, you must have the consent of a parent or legal guardian to use the platform.
  • You must have a valid Google account that you own and control.
  • You must use Mailtohire only for legitimate, professional job-search outreach purposes.
  • You must be legally capable of entering into a binding agreement under Indian law.

Mailtohire is designed for job seekers in India reaching out to Indian companies and HR professionals. Using the platform to send emails to contacts outside this intended context is at your own risk and may result in account suspension.

Section 03

Your Account

Your Mailtohire account is created through Google OAuth — no separate password is set within Mailtohire. You are responsible for:

  • Maintaining the security of your Google account, which controls access to Mailtohire
  • All activity that occurs under your account, including campaigns and emails sent
  • Ensuring your profile information is accurate (name, experience, LinkedIn URL, etc.), as it is used to personalise your outreach emails
  • Notifying us immediately at abcd@gmail.com if you suspect unauthorised access to your account

Each Mailtohire account corresponds to one individual. Accounts may not be shared, sold, or transferred to another person.

Section 04

The Coin System

Mailtohire uses a coin-based credit system to power email sending. Coins are purchased via Razorpay and are deducted each time an email is sent.

1 coin = 1 email sent

Quick Send costs 1 coin per email. Smart Campaigns cost 2 coins per email. Coins are deducted only when an email is successfully dispatched.

Coin rules you must understand

  • Coins do not expire. Once purchased, your coins remain in your account indefinitely until used or until your account is terminated for policy violations.
  • Coins are non-refundable. All coin purchases are final. We do not offer refunds for unused coins under any circumstances, including account deletion or voluntary closure.
  • Joining bonus. New users receive a small number of free coins upon first sign-in. These are granted at our discretion and may be changed or discontinued at any time.
  • Coins are non-transferable. You cannot transfer coins to another Mailtohire account.

No refunds policy: Coin purchases are strictly non-refundable. This includes situations where your account is suspended for policy violations, where you choose to stop using Mailtohire, or where a campaign underperforms. Please purchase only what you intend to use.

If a payment is processed but coins are not credited to your account due to a technical error on our side, please contact us at abcd@gmail.com with your Razorpay order ID, and we will resolve the issue within 5 business days.

Section 05

Gmail Permission

Smart Campaigns require you to grant Mailtohire permission to send emails from your Gmail account (gmail.send scope). By granting this permission, you agree to:

  • Authorise Mailtohire to send emails on your behalf, to the HR contacts and companies configured in your campaigns
  • Accept that all emails sent via Mailtohire will appear in Gmail's Sent folder and will show your name and email address as the sender
  • Take full responsibility for the content of emails sent, even when sent automatically by the platform

You may revoke Gmail permission at any time from your Profile page or directly via Google Account settings. Revoking access will pause active campaigns. You may reconnect at any time.

You must only connect a Gmail account that you own and have the legal right to use. Connecting someone else's Gmail account — even with their knowledge — is not permitted and will result in immediate account termination.

Section 06

The HR Catalog

The Mailtohire catalog of HR professionals, recruiters, and company career email addresses is proprietary data curated and owned by Mailtohire. By using the platform, you agree to the following:

  • The catalog is provided solely to facilitate legitimate job-search outreach
  • Catalog data is never fully visible to users — email addresses are always masked in the UI
  • You may not attempt to extract, scrape, harvest, or reverse-engineer catalog data in any way
  • You may not use data from the catalog for any purpose other than your own personal job-search outreach
  • Reselling or redistributing catalog data to any third party
  • Using the catalog for marketing, sales, or non-job-search purposes
  • Attempting to identify masked email addresses through trial and error or technical means

Violation of these catalog rules will result in immediate permanent account termination without refund.

Section 07

Campaigns & Sending

When you create a Smart Campaign or use Quick Send, you acknowledge and agree to:

  • Daily limits. Smart Campaigns are subject to a configurable daily sending limit (currently up to 30 emails per day). We may adjust this limit at any time to maintain platform health and deliverability standards.
  • Cooldown enforcement. The platform enforces cooldown periods between emails to the same recipient. These cooldowns are mandatory and exist to protect the reputation of both the platform and your Gmail account.
  • Scheduling. Email sending times are spread across business hours (9 AM – 7 PM IST) by our system. You cannot manually control the exact time of each send within a campaign.
  • No delivery guarantee. Mailtohire sends emails via the Gmail API. We cannot guarantee that emails will be delivered to the recipient's inbox, will not be caught by spam filters, or will receive a reply.
  • One active campaign. Each user may have only one active campaign at a time. You must stop your current campaign before creating a new one.

Heads up: Sending unsolicited commercial email (spam) is a violation of these Terms. Mailtohire is designed for job-search outreach, which is a legitimate and widely accepted practice. However, emails must always represent a genuine, honest job-search inquiry. Misleading, deceptive, or harassing emails are strictly prohibited and are your responsibility as the sender.

Section 08

Prohibited Uses

The following activities are strictly prohibited on Mailtohire and may result in immediate account suspension or termination:

  • Sending emails that contain false, misleading, or fraudulent information about yourself or your qualifications
  • Impersonating another person, company, or brand in your profile or email templates
  • Using Mailtohire to send unsolicited commercial offers, promotional content, or marketing materials unrelated to a genuine job search
  • Sending emails that contain threatening, abusive, harassing, defamatory, or otherwise harmful content
  • Attempting to bypass, disable, or circumvent cooldown limits, rate limits, or any other platform safeguards through technical or non-technical means
  • Creating multiple Mailtohire accounts to circumvent limits or bans
  • Scraping, crawling, or otherwise extracting data from Mailtohire by automated means
  • Using Mailtohire to send emails that violate Indian law, including the Information Technology Act 2000, or any applicable anti-spam regulations
  • Sharing your account with others or allowing third parties to use your account

Section 09

Your Content

"Your Content" refers to the email templates you create and the profile information you enter on Mailtohire.

  • You retain ownership of your email templates and profile content
  • You grant Mailtohire a limited, non-exclusive licence to use your content solely to provide the service (e.g., to insert your profile data into template variables and send the resulting emails via Gmail)
  • You represent and warrant that your content does not infringe any third-party intellectual property rights and does not violate any applicable laws

Mailtohire does not review, edit, or endorse your email templates. You are solely responsible for the content and legality of every email sent through the platform.

Section 10

Liability & Disclaimers

Mailtohire is provided on an "as is" and "as available" basis. To the fullest extent permitted by Indian law, we disclaim all warranties, express or implied, including but not limited to:

  • Any guarantee that emails sent via Mailtohire will be delivered, opened, or replied to
  • Any guarantee of job interviews, offers, or any employment outcome
  • Uninterrupted or error-free operation of the platform — we may experience downtime for maintenance or due to factors outside our control
  • The accuracy or completeness of the HR catalog — contact information may change without notice

To the maximum extent permitted by law, Mailtohire's total liability to you for any claim arising from your use of the platform shall not exceed the total amount of coins you purchased in the 30 days preceding the claim.

Important: Mailtohire is not liable for any damage to your Gmail account's deliverability or reputation, spam flags placed by email providers, or consequences arising from how recipients respond to your emails. Sending behaviour is governed by Google's own Gmail API Terms of Service, which you are also bound by.

Section 11

Account Suspension & Termination

We reserve the right to suspend or permanently terminate your account, with or without prior notice, for any of the following reasons:

  • Violation of any provision of these Terms
  • Sending emails that generate abuse complaints from recipients
  • Attempting to exploit, hack, or disrupt the platform
  • Any activity that, in our sole judgement, harms the reputation or deliverability of the platform
  • Failure to comply with a legal requirement or court order

What happens to your coins on termination

  • If your account is terminated by us for a policy violation, your unused coin balance is forfeited with no refund
  • If you choose to voluntarily close your account, your unused coins are also forfeited — coins are non-refundable regardless of the reason for closure

You may request account deletion at any time by emailing abcd@gmail.com. We will process the deletion within 30 days and confirm once complete.

Section 12

Governing Law & Disputes

These Terms are governed by and construed in accordance with the laws of India, including the Information Technology Act, 2000 and the Consumer Protection Act, 2019, as applicable.

Any disputes arising from or related to your use of Mailtohire shall first be attempted to be resolved through good-faith negotiation. If unresolved, disputes shall be subject to the exclusive jurisdiction of the courts of India.

If you have a complaint or dispute, please contact us at abcd@gmail.com before initiating any legal proceedings. Most issues can be resolved quickly through direct communication.

Section 13

Changes to These Terms

We may update these Terms from time to time — for example, when we formally incorporate the business, add new features, or to comply with legal requirements. When we make material changes:

  • We will update the effective date at the top of this page
  • For significant changes, we will notify you by email at least 7 days before the changes take effect
  • Continued use of Mailtohire after the effective date constitutes acceptance of the revised Terms

If you do not agree with a material change, you may close your account before the change takes effect. Closing your account does not entitle you to a refund of unused coins.
